In outlook when ever we schedule a meeting we will add mandatory attendees and some of them may optional. Let see how to add options attendees. Click on New Meeting and type the list of recipients in the to list. Now Click Scheduling Assistant. When Outlook receives a meeting acceptance, the sender of the acceptance is compared to the recipients in the meeting attendee list. If that recipient is not listed, it is assumed to be 'optional' and added to the list of attendees. More information. Note

By default, updates are not sent to all recipients but only to the specific adjusted recipients (added or deleted attendees). If the attendees list contains an unexpanded distribution group, any updates are sent to all recipients.

Updates are sent to all recipients for single and recurrence meetings when one of the following items is changed:

  • Message body
  • Attachments

These updates are informational, and they do not require the recipient to process (accept/decline/tentative).

Updates are sent to all recipients to be processed when one of the following changes occurs:

  • Start/end date or time changes
  • Recurrence pattern changes
  • Instance of a recurrence pattern changes
  • Instance or series cancellations

These updates require a response, and they do require the recipient to process (accept/decline/tentative).

When you send a meeting request, you can put Distribution Lists (DLs) on the To line as required attendees. When the recipient accepts this meeting invitation, your original meeting item shows that recipient as an Optional attendee instead of Required.

Status

This is by design.

To work around this issue in Outlook 2003 or later versions, expand the DL as soon as it is added to the meeting list. If the DL contains other DLs nested in it those will also have to be expanded.
